Key Dates and Deadlines

Total Expo Ordering Deadlines

  • 12 September: Stand (graphics package) selection due to Total Expo
  • 13 September: Upgrades (furnishings, monitors, & custom orders) due to Total Expo
  • 17 September: Final stand graphics/artwork must be submitted to Total Expo. We strongly suggest submitting sooner.

Registration Deadlines

  • 15 September: Deadline to register for exhibitor badges
  • 15 September: Deadline to use *sponsor passes (*conference passes included per your agreement to attend sessions).

Interflow Logistics Shipping Deadlines

Arrival Dates: Goods Must be Received By

  • 24 September: Airfreight to Dublin (DUB)
  • 1 October: Truck via warehouse
  • 5 working days before cargo arrives: Shipping documents must be with Interflow Logistics

Optional Enhancements Deadlines

  • 3 October: Deadline to order dedicated internet through the Convention Centre
  • 5 October: Deadline to purchase lead retrieval (Cvent LeadCapture)
  • 6 October: Deadline to assign lead retrieval licenses to exhibiting staff

Exhibits Schedule Overview (subject to updates)

  • Monday, 6 October: Exhibitor set up in the Forum 18:00–19:00
  • Tuesday, 7 October: Exhibitor set up in the Forum: *07:00–10:00
  • Thursday, 9 October: Exhibitor move out 14:15–16:00

*Attendees will be in The Forum for morning coffee and tea from 07:30–08:45, during exhibitor move-in on 7th October. Stands are not expected to be open until 10:00.

  • Wednesday, 8 October, 08:00–17:30
  • Thursday, 9 October, 08:00–14:00 (end of lunch)

Stand Details

Stands are located in The Forum on the ground floor of the Convention Centre Dublin. The floor plan and stand numbers are coming soon. Please refer to your company name when placing orders through Total Expo.

For all levels, you may order a monitor, submit custom graphics, and further customize your stand through Total Expo's online storefront. Note: Platinum and Diamond exhibits are not detailed below.

**Cables, adapters, extension cords, and other peripherals are not included. Please plan accordingly.**

Gold, Silver, and Bronze exhibits include an unbranded 3-meters by 3-meters stand enclosure, which consists of:

  • 2.5m tall white back wall
  • 1m tall white side *walls (*only one side wall if you have a corner stand)
  • Company name on name card (plain text only)
  • 1x spotlight on arm
  • Unbranded lockable counter with shelves
  • 2x Zed stools
  • 1x Double 13A socket 220V
  • Two exhibitor badges for stand access (no session access)

Copper start-up exhibits include a 1.5 m x 2 m stand enclosure, which consists of:

  • 1m wide x 2.5m tall white back wall with 0.5m wooden feature panel
  • Company name on name card (plain text only)
  • 1x spotlight on arm
  • Unbranded lockable counter with shelves
  • 2x Zed stools
  • 1x Double 13A socket 220V
  • Two exhibitor badges for stand access (no session access)

Stand packages

Total Expo will contact your team with the invite link to their webshop. The webshop is where you will select your optional graphics package as well as optional orders for furnishings, monitors, and accessories. Be advised that stand graphics are not included with the stands but can be ordered through Total Expo’s webshop. Once you choose your stand package, you will see a link to the graphics dimensions. Your stand is included as indicated in ‘Stand Details’ above; the graphics package is optional and is what you must choose by Friday, 12 September. 

Graphics

Final artwork must be with Total Expo by 17 September. Do not send files to USENIX. Submit your final, print-ready artwork directly to Total Expo. Artwork specifications for your stand are available for download once you select your package on their webshop.

**Design note: If ordering a wall-mounted monitor (mounting options include a stand or wall-mounted), coordinate placement with Total Expo when designing your artwork.**

Shipping

No direct-to-venue shipments allowed.

Shipping Out

Please arrange your outbound shipments in advance through Interflow Logistics unless you can hand carry your items out on your own.

Electrical

Your exhibit space includes access to one double socket and a 1kW max power point. If you require additional power, please order through Total Expo's webshop and consult with them on placement.

Monitor Rental

Please only order through Total Expo's webshop and not the CCD. Mounting options include stand or wall-mounted. Please consult with your designers to ensure the monitor placement complements your graphics, and coordinate placement with Total Expo.

WiFi and Ethernet

Free conference WiFi is included with your exhibit. If you would like a dedicated connection for seamless connectivity, you can place an order through the Convention Centre Dublin and follow the instructions detailed below.

Convention Centre Dublin (CCD) Ethernet Order Portal

The Convention Centre Dublin offers dedicated connectivity if you require a seamless connection beyond the conference-provided free WiFI. The order portal is managed by the CCD, and you may order from their storefront, which is linked below. The order portal closes by EOD, Friday, 3 October local time.

Please disregard optional monitors and furnishing orders on the Convention Centre's site, which should only be ordered through Total Expo's webshop to ensure correct integration with booth structure and graphics.

CCD Ethernet Order Portal

  1. Scroll to 'SREcon25 Europe/Middle East/Africa' and click “go to store"
  2. Create an account and complete the mandatory fields. Use your company name if you do not know your stand number.
  3. Please ignore all other offerings (monitors) from the CCD and only use this portal for dedicated internet/ethernet.

Lead Retrieval Overview

App-based lead retrieval provided by Cvent. Licenses are purchased by your exhibits administrator and assigned to registered exhibitors from within the Cvent portal. Please review the instructions in advance so that your team does not miss opportunities to scan attendees on the show floor.

Order Lead Retrieval (Coming Soon!)

Leads are gathered with the Cvent LeadCapture app, downloadable to your own devices from the Apple App Store or Google Play. Your sponsorship's admin can log into Cvent here to purchase and assign licenses to registered staff.

Here are instructions on how to use the app. Please share this information with your onsite exhibiting staff in advance.

GDPR Compliance: Exhibitors can add an additional question within the app to obtain a form of written consent if required. Data collected includes the information the attendee agreed to share when registering to attend the conference: Name, email, company, country, and title. Please note: Phone numbers, work/home addresses, cities, and postal codes are not collected. You may ask attendees for additional contact information upon further conversation.

Security

The Forum and the Convention Centre will be secured and locked after hours, accessible only to venue staff. The CCD has 24-hour security on-site.

Lodging/Accommodations

USENIX does not offer a room block at a hotel, but we encourage you to shop around for your accommodations to find what suits your needs.
